Welcome Volunteers
Week of Welcome and Move‑In involves many moving pieces, and volunteers help make it all happen! Duties may include checking students into events, assisting with setup and cleanup, offering directions, and guiding students who have questions. Any time you can share is greatly appreciated—and it truly supports our newest Yellow Jackets as they transition to campus.

Volunteer Resources Toolkit & FAQ
Everything you need to know before, during, and after your Week of Welcome volunteer shift.
Before Your Shift
- Review your confirmation email for your role, check‑in location, and staff contact.
- Arrive 10–15 minutes early for orientation and instructions.
- Check the weather and dress accordingly.
- Bring your BuzzCard, water, and any personal items you may need.
- No prior volunteer experience is required — all instructions are provided.
Volunteer Roles
You may be supporting:
- Event check‑in
- Event setup & cleanup
- Wayfinding (directions and crowd support)
- Answering questions
- General event or move‑in assistance
Roles will be listed in your shift confirmation email.
Volunteer Shifts
- Shifts vary in length.
- You may sign up for one or multiple shifts during Move‑In and Week of Welcome.
- Group volunteering (departments or RSOs) is welcome.
Training & Preparation
- A brief orientation or set of instructions will be provided before your shift by your event host.
- You’ll be given everything you need to feel prepared.
What to Wear
- Comfortable, weather‑appropriate clothing.
- Closed‑toe or comfortable shoes.
- GT‑branded attire encouraged.
- If shirts are provided, pickup info will be sent via email.
What to Bring
- Refillable water bottle.
- Phone for communication.
- Snacks (if you have long or consecutive shifts).
- Sunscreen or hat for outdoor roles.
- A friendly, welcoming attitude.
Check-in & On-Site Support
- Check‑in details are included in your confirmation email.
- A staff member or student lead will guide you upon arrival.
- You’ll participate in a quick shift huddle for assignments.
Health, Safety & Accessibility
- Stay hydrated and take breaks when needed.
- Alert staff immediately about safety concerns.
- Accessibility accommodations are available.
Communication
You will receive:
- A confirmation email
- A reminder email
- Onsite directions and signage

After your Shift
- Follow up with your event or team lead to let them know you’re leaving.
- Return any materials (badges, radios, etc.).
- Share feedback to help improve future WOW programming.
- Celebrate your contribution — thank you for helping welcome our newest Yellow Jackets!
